    QnA on documents admin guide

    Before users can ask questions of hila, admins must populate the platform with data sources. This guide describes how to set up the data sources for documents. For structured data, see QnA on databases admin guide.

    Prerequisites

    • Create a user in hila settings. To make sure your user has permissions for the full user functionality of hila, assign the user the role of Explorer and modify as needed, or create a new role based on Explorer. See Users, roles, and permissions.

    Workflow

    For documents, the admin has a relatively straightforward task of uploading documents in Data Manager.

    1. In Data manager, select the user whose folder you want to add the document to, and click Upload under the Add from local storage section.

      • To add a user and set permissions for that user, see Users, roles, and permissions.

      • Each folder has an Add folder button for you to create a new level of hierarchy.

    2. Select either Upload file or Upload folder. When uploading a folder, hila limits the upload to 100 files.

    3. Refresh the page to see the new PDF in the folder you selected.

    Notes on document uploading

    • Depending on the size and number of documents, the time to upload can range from minutes to hours. If you do not get the right answers from your documents, check with your system administrator to see if the upload is complete.

    • While the file is uploading, a circular spinner appears next to the file showing its progress, and an “X” appears next to the spinner for you to delete the upload.

    • It is possible that the data manager can show a file is uploaded before the back-end completes the process to get the document in the data flow. To get the most accurate status of the file upload, click the user folder to see the status of the upload.
      • A red triangle with an exclamation point means the file failed to upload.
      • A green check mark means the file successfully uploaded.
      • A circular spinner means the file is still uploading.

    • If you upload a document to a public folder, then everyone can see it.

    • If you upload a document to a user’s folder, then only the user of the folder and any administrator can see the uploaded document. It is not shared with other users.
